1. Who we are
PRIMEHOST.AI ("primehost.ai", "we", "us") operates the primehost.ai platform for short-term rental hosts and property managers. We are the data controller for personal data described in this policy.

2. Scope
This policy covers our website and the primehost.ai application. Where our customers (property managers and hosts) use primehost.ai to communicate with their guests and team members, the customer is the controller of that communication data and we act as processor on their instructions under a data processing agreement.
3. Data we process
- Account data: name, business name, email, phone number, billing details, login and security data.
- Property and operations data: listings, reservations, schedules, tasks and team assignments imported from your PMS or channels.
- Communication data: messages, call transcripts and summaries exchanged between guests, owners, team members and our AI or support agents.
- Usage and technical data: device and browser information, IP address, pages viewed, feature usage, logs.
- Support data: the content of requests you send to our support team.
4. Why and on what legal basis
- Contract (Art. 6(1)(b)): to provide the platform, process messages and tasks, and deliver support.
- Legitimate interests (Art. 6(1)(f)): to secure the service, prevent abuse, improve reliability, and analyse aggregate usage.
- Consent (Art. 6(1)(a)): for non-essential cookies and optional marketing communications; you can withdraw consent at any time.
- Legal obligation (Art. 6(1)(c)): accounting, tax and compliance record keeping.
5. AI processing
primehost.ai uses AI models to draft replies, answer operational questions, summarise calls and create tasks. To do this, relevant reservation, property and message content is sent to our AI service providers for processing on our behalf. Outputs remain reviewable and, where you configure it, subject to human approval.
6. Sharing and sub-processors
We share personal data only with service providers acting on our instructions, including categories such as:
- cloud hosting and database providers;
- AI model and speech-processing providers;
- messaging and telephony providers used for WhatsApp, SMS and voice channels;
- PMS and booking-channel integrations you connect;
- payment, analytics and customer-support tools.
We may also disclose data where required by law. A current list of sub-processors is available on request at info@primehost.ai.
7. International transfers
Some providers are located outside the European Economic Area. Where that is the case we rely on an adequacy decision or on the European Commission's Standard Contractual Clauses together with supplementary safeguards.
8. Retention
We keep account and operational data for as long as your account is active and afterwards only as long as needed for the purposes above or to meet legal obligations. Customers can request deletion of their workspace data; backups age out on our standard cycle.
9. Security
We apply technical and organisational measures appropriate to the risk, including encryption in transit, access controls, role-based permissions and logging. No system is completely secure; if a personal data breach occurs we will notify the relevant parties as required by the GDPR.
10. Your rights
Under the GDPR you have the right to access, rectification, erasure, restriction, portability, and objection, and the right to withdraw consent. Contact info@primehost.ai to exercise them. If you are a guest or team member of one of our customers, please contact that customer first — we will assist them as processor. You may also lodge a complaint with the Hellenic Data Protection Authority or your local supervisory authority.

We may update this policy. Material changes will be communicated in the app or by email, and the "last updated" date above will change.
